I'm getting a little tired of waiting for parties to find me so I'm going to throw my own party and hope it conjurs up some business. I'm still in the thought process and was thinking I might get some input here.

We have a really popular sports bar/restaurant here with a party room that'll fit 150 people. It has a 10ft projector screen and 10 other monitors. Lots of techy stuff and most importantly, a private bar and awesome food. There is a rival college basketball game coming up in Sept or Oct, and I have a local celebrity agree to do a concert for me during halftime and after the game.

My portable set-up is almost complete to where a customer can walk behind a curtain, look right and see a green screen and turn left to see my Lastolite Hylite. Of course, they have already looked through all their options and know what they want. I take the photo free and add it to the slideshow on the projector. I'll have my husband manning the DNP printer and selling prints. There will also be directions on each table to easily download an app to their phone if they want to print a picture they've taken.

My only cost other than some equipment I need anyway, is rental, which is only $50 a night. So to me, worst case scenario is I lose 50 bucks, nobody wants their picture taken, and I get to watch a ballgame and enjoy some good music. Am I missing something obvious that would make this more of a disaster than that?

So question: Is it legal for me to rent out space, then make a profit off it? ... or to pre-sell $5 tickets (Carla has quite a following)?

And what are those darn buzzy things they had out at restaurants to tell you when your food is done? I can't find them anywhere...

Make sure the guests know they are paying for their own food and drink, as I don't think your $50 rental payment will cover that ... ;-)

Is the bar okay with you having a for profit event in their party room? Do they know that you're not an experienced event producer? Do they have a contract you need to sign? Have you read it? How are you handling food and drink? Does the venue have a minimum that you need to purchase, in addition to the $50 rental fee?

Do you know where to get liability insurance?

How are you going to promote the event?

Does the venue have the type of sound equipment that paying customers are going to expect for your performer, or do you need to rent it? Is there a good place for your performer to stand?

Are a folk singer, a basketball game, and a photo booth a good mix?

Do you need to pay any sort of broadcast fees to broadcast the game at a for profit event?

Who is going to collect the cover charge? Will the venue allow you to take money at the door or do you need to sell tickets in advance? Do you have someone who can do that?

Anyway, that's just off the top of my head. Producing an event takes a lot of work and a lot of specialized knowledge, and none of it is about photography. I worked for a production company for a short time back in my 20's and they had a big binder of stuff that was basically an event checklist. I'd recommend working with someone who knows what they're doing the first time you try something like this. If the bar has a lot of events, they'll know who they prefer to work with.

Buzzkill!, LOL ;) Haven't spoken face to face with owner, but I imagine all that will be addressed. Food and drink taken care of. Promotion? Carla will promote and a lot of footwork I imagine. Sound equipment not a problem, she's by herself on acoustic. In Kentucky, yes, a folk singer and a basketball game mix well... photo booth will be new and located in the back. Broadcasting fees is a good question, but they play the games at the bar while selling food all the time. Cover charge is still up in the air, but still months until this even happens. But thanks for the post, it's very helpful to have questions like that when going in to meet with the owner.

They hold events there all the time, so I imagine he's got most of the answers. Ultimate goal would be to impress him enough so that he would advertise me to his regular clients that rent the room. But like I said, worst case scenario, everyone still has a good time.

Still wondering what those buzzy things are called...
